How documents move

Every step starts with you. Nothing is imported, checked for updates or saved back in the background.

Saving a file to a connected app isn’t submitting it. You file with the permitting authority yourself.

Project management

Start permits from the projects you already run, and keep those tools up to date.

Procore

Not available yet

Start a permit from the Procore project you already run, and put the results back in its documents.

  • Project details, as a new draft project or into ticked fields of a draft you already have
  • Documents you pick from the project’s Documents folders (PDF, JPG or PNG, up to 25 MB each)

  • A prepared permit PDF or the readiness report, to a Procore folder you pick, only when you press Send

Example

  1. Pick the Procore company and project.
  2. Compare its details with the permit project, then import it as a new draft.
  3. Open the Drawings folder and import the two sheets the permit needs.
  4. After the package check, send the readiness report to the project’s Permits folder.

Good to know

  • Not turned on for MiamiPermitAI accounts yet. It’s being tested against Procore’s developer sandbox.
  • Each person connects their own Procore account and works within their own Procore permissions.

Smartsheet

Available

Turn the rows of your permit tracker into permit projects, and update the tracker when you choose.

Connect Smartsheet

Brings in

  • Rows you select, each as a draft project, through a column mapping an owner confirms
  • Files attached to that project’s row (PDF, JPG or PNG, up to 25 MB each)

Sends back

  • Only the cells you tick, after a cell-by-cell preview, in the columns your owner mapped: report link, package readiness, missing documents, next action, recorded submission date, permit number and recorded status

Example

  1. An owner connects Smartsheet and maps the Address, Folio and Permit type columns.
  2. Preview the rows, fix a flagged permit type, and import three rows as draft projects.
  3. After the package check, choose Update Smartsheet: tick Readiness and Next action, review, confirm.

Good to know

  • An organization owner connects Smartsheet and sets up the column mapping.
  • Needs a Smartsheet Business, Enterprise or Advanced Work Management plan, on Smartsheet’s US region.
  • Formula, locked and input columns are never written. Readiness is a package check, not a permit approval.

Email

Keep the building department’s emails and attachments with the permit they’re about.

Gmail

Keep correction letters and building-department emails with the permit they belong to.

  • Nothing. Access is read-only: nothing is sent, moved or changed in Gmail.

  1. Search Gmail for the correction letter.
  2. Pick the project and preview what will be saved.
  3. Import it: the email appears under the project’s Comments → Emails, and its PDF with the project’s documents.

  • Limited pilot: until Google finishes verifying MiamiPermitAI, only accounts added to the pilot can connect.
  • Each person connects their own mailbox. Teammates can’t browse it, but can see the emails you import to a project.

Outlook

  • Works with work, school and personal Microsoft accounts.
  • Some organizations only allow apps from verified publishers. Until Microsoft’s publisher verification is complete, an administrator there may need to approve MiamiPermitAI.
  • Each person connects their own mailbox. Teammates can’t browse it, but can see the emails you import to a project.

Files and storage

Bring in the drawings and documents you choose, and save prepared files back to the same place.

Google Drive

Limited pilot

Bring in the files you pick, see when they change, and save prepared documents back to Drive.

  • Files you pick with Google’s own file picker: PDF, JPG or PNG up to 25 MB, up to 10 at a time
  • Google Docs, Sheets and Slides, as Google’s PDF export
  • A newer version of an imported file, when Check for updates finds one and you import it

  • Prepared (unsigned) form PDFs and the readiness report, to a Drive folder you pick

  1. Open the project’s Documents and choose Import from Google Drive.
  2. Pick the site survey and the signed application, review, and import.
  3. A week later, choose Check for updates and import the revised survey as version 2.
  4. Save the prepared forms to the job’s Drive folder.

Good to know

  • Limited pilot: until Google finishes verifying MiamiPermitAI, only accounts added to the pilot can connect.
  • MiamiPermitAI sees only the files you pick. It can’t browse or search the rest of your Drive.

OneDrive / SharePoint

Available

Bring in the files you choose from OneDrive or SharePoint, and save prepared documents back.

  • Files you choose from your OneDrive, or from SharePoint document libraries you can open
  • PDF, JPG and PNG up to 25 MB; Word, Excel and PowerPoint files as Microsoft’s PDF conversion
  • A newer version of an imported file, when Check for updates finds one and you import it

  • Prepared (unsigned) form PDFs and the readiness report, to a folder you choose

Example

  1. Open the project’s Documents and browse the job’s SharePoint library.
  2. Choose the drawings and the Word specification, review, and import.
  3. Before filing, choose Check for updates and import the revised drawings.
  4. Save the readiness report to the same library.

Good to know

  • OneDrive works with personal and work or school accounts. SharePoint needs a work or school account and is added separately.
  • Works within your own Microsoft permissions. Until Microsoft’s publisher verification is complete, some organizations need an administrator to approve MiamiPermitAI.

  • Read-only: nothing is changed in HubSpot.

Starting from a spreadsheet?

Import customers and permits from a CSV or Excel file and map your own columns, from Import data once you’re signed in.

Imports and Check for updates run only when you ask; nothing synchronizes in the background. Email imports are copies: the original stays in your mailbox. Saving to a connected app isn’t submitting to a permitting authority.
